Mailboxes & Package Lockers in Commercial Mail Rooms

Mailboxes are used to receive letters, while package lockers are used to receive packages of the appropriate size. A package mailbox combines both functions in a single unit. In restaurants, hotels and catering businesses, a designated receiving point provides clear organization for business mail and small deliveries of supplies.

The key factor is whether the solution fits the actual volume of shipments. A business that receives occasional letters requires a different storage capacity than a location with regular package deliveries. Therefore, before making a selection, determine what types of shipments will arrive and who will empty the compartments.

Choose the Right Package Dimensions and Footprint

First, measure the maximum package dimensions. The package box with mailbox shown here can accommodate packages up to 400 × 280 × 200 mm (width × depth × height). The designation “Size M” alone is not sufficient to determine compatibility with your shipments. It is recommended that you measure your shipments in their shipping packaging and consider how often larger sizes occur.

The exterior dimensions are key for installation: 496 mm wide, 369 mm deep, and 1,165 mm high. In addition, space is required for opening the unit and retrieving packages. Neither the usable interior capacity nor the number of packages that can be held simultaneously can be determined from the exterior dimensions. If multiple shipments are received daily, the possibility of additional deliveries before emptying the unit should be specifically clarified.

Integrating Package Lockers into Daily Operations

At a restaurant that opens only in the evening, a customized package drop-off station can facilitate deliveries even when the restaurant is unstaffed. At a hotel front desk, the staff can empty the compartments before the usual check-in times and forward the packages internally. This requires an accessible location and an agreement with the delivery service regarding its use. For shipments requiring personal delivery, very large boxes, or deliveries with special storage requirements, it is advisable to establish a separate receiving procedure.

With the combined model offered, packages are loaded through the upper flap and retrieved from the lower compartment. Letters and packages are stored in separate, lockable compartments.

When planning access, ensure that doors, guest pathways, and operational walkways remain clear. Packages should be retrievable from the lower compartment without requiring unnecessary turning movements or being obstructed by adjacent fixtures. Since floor mounting is required, the subfloor, fasteners, and installation must be coordinated. Additionally, sufficient time must be allowed for assembly, as the box is delivered unassembled.

Materials and Care for Frequently Used Package Mailboxes

The body is made of galvanized steel with a UV-resistant powder coating; the handles are made of stainless steel. The choice of materials takes into account humidity at the installation site, frequent opening, and potential impacts from shipments. It is recommended to regularly check the coating, flaps, hinges, and latches for damage and to ensure they operate smoothly.

Dust and dirt should be gently removed in accordance with the care instructions. When selecting surface cleaning agents, ensure that they are suitable for the respective coating. Abrasive cleaning tools or unsuitable chemicals can damage the surfaces. Cleaning the handle areas can be easily integrated into the regular maintenance of the entryway.

Quick Check for the Right Mailboxes & Package Lockers

  • Package size: Compare standard cardboard boxes to the maximum package dimensions and check capacity until the next emptying.

  • Footprint: Take into account external dimensions as well as space for flaps, removal, and clear walkways.

  • Installation: Clarify the subfloor, floor mounting, and included mounting hardware before placing your order.

  • Access: Determine delivery arrangements, separate compartments, key management, and emptying frequency.

  • Maintenance: Tailor the material, surface protection, and appropriate cleaning methods to the location of use.

Purchasing Mailboxes and Package Lockers to Meet Your Needs

A clearly labeled reception area helps delivery personnel route mail to the correct business address. The team should agree on how to forward incoming business mail to the administrative department or management. The mail handling process also includes what happens after the mail is retrieved. A designated storage area on shelves in the internal mailroom can help keep already received items organized and ready until they are forwarded. This ensures that the package box remains available for other suitable shipments, provided it is emptied regularly.

From a cost perspective, in addition to the purchase price, the expenses for installation, upkeep, and future maintenance must be considered. A suitable receiving solution can reduce follow-up inquiries and unnecessary trips when delivery and internal distribution are reliably organized. When replacing equipment, check the current delivery time and, if necessary, confirm whether keys or lock components can be reordered.
